Timesheets

Timesheets are the binding agreement between steward and staff and are the sole documentation of completed service. 
 
Timesheets are due bi-weekly. You must submit your hours by 5:00pm every other Saturday. Supervisors or other staff may not input hours on behalf of their Kupu steward. Timely payroll approval is necessary for paychecks to be released.

Unauthorized logging in or out, alteration of any time and attendance record, or the misrepresentation of hours served, is strictly prohibited and may result in disciplinary action up to and including dismissal.

ORDER OF PAYROLL PROCESS: 1.Steward submits accurate hours on their HR Symphony account: “In Process” becomes “Pending-Supervisor” status. 2.Site Supervisor approves those submitted hours: “Pending-Supervisor” becomes “Pending-Payroll” status. 3.Kupu Program Coordinator authorizes submission for payroll: “Pending-Payroll” becomes “Authorized” status. *Submission attempts in any other order will be rejected by the Payroll Specialist until the process order is executed correctly. You may refer to the “History” tab in your HR Symphony timesheet to verify submission order. Late Submittal = Late Paycheck If a late timesheet is submitted, the steward may not receive their paycheck by the scheduled pay date. Late checks cannot be distributed through direct deposit and will be mailed to the address on file with ALTRES. If steward address has changed since applying to program, notify Program Coordinator immediately Sick leave, per diem, and vacation pay are not available for Nā Manu ʻElele stewards. Unpaid time off is permitted with permission of both site supervisor and Program Coordinator. Overtime must be pre-approved by Kupu staff.

Responsibilities:

Stewards role:

Kupu stewards are expected to: 

  • Serve up to 40 hours per week (for full time); or up to 20 hours per week (for part time). 

  • Submit timesheets biweekly 

  • Complete data reports as requested 

  • Treat this program as a job and a privilege 

  • Take full responsibility for being prepared, dressing appropriately, and being pono every day 

  • Maintain open communication with site and Kupu staff, including check-ins with the Nā Manu ʻElele Program Coordinator 

  • Represent Kupu and host site appropriately 

Site Supervisor role:

Site Supervisors are direct supervisors to the stewards. Kupu stewards are expected to report to their host site supervisor for all host site needs like daily tasks, performance-based questions, calling in sick, or requesting time off in cases of emergencies. Site Supervisors are expected to provide support and mentorship to all program stewards including, but not limited to the following:  

  • Prioritize steward safety and safety conditions  

  • Provide historical and cultural background on site  

  • Act as role models and provide hands-on mentorship, instruction, and guidance    

  • Provide an educational, healthy, and safe environment for the steward   

Data Reporting

Your data collection is key to the success of our Kupu Programs. The data you submit not only helps with funding purposes, but it helps us track the impact you’ve made across the islands.

 

Your Program Coordinator will walk you through what a successful data report should look like, and will remain available for any additional questions around this. 

Exit Requirements

Upon notification of resignation, your admin coordinator will send out instructions for exit requirements 2 weeks prior to the contract end date. These must be completed by the steward’s last day of work.  

What to complete upon program exit

Letter of Resignation Form

Admin Coordinator will send you link to submit form electronically, as soon as you notify your Program Coordinator of your departure.

Exit Evaluation (with your host site supervisor)

Admin Coordinator will have your site manager complete an evaluation form with you. If for any reason you cannot review the evaluation together, you will be sent a copy to e-sign.

Program Survey

Log in to your Kupu Participant Portal to complete.

Final Data Report Form

Complete and submit all data collection up to your final day.

Final Timesheet

If your final timesheet is not submitted through HR Symphony within 24 hours of leaving the program, a manual timesheet may be required.
